Welcome to Frances Farlow Travel and Tours. By engaging our travel consulting services, booking travel through our agency, or paying a professional planning fee, you agree to the following terms, conditions, and cancellation policies.
1. Professional Planning Fees & Retainers
Frances Farlow Travel and Tours provides high-touch, specialized travel consulting, itinerary design, and accessibility advocacy—including sensory profile matching, room placement verification, and accessibility logistics setup.
- Non-Refundable Professional Fees: All professional planning fees, retainers, and consultation fees charged directly by Frances Farlow Travel and Tours are strictly non-refundable once work has commenced.
- Scope of Labor: The planning fee covers the time, expertise, research, supplier coordination, and custom documentation provided prior to travel. This fee is earned at the time services are rendered and does not apply toward the cost of travel components (e.g., flights, hotel stays, cruise fares, or theme park tickets).
- Changes & Modifications: Planning fees cover the single, agreed-upon travel concept outlined during your initial consultation. Major revisions to travel dates, target destinations, or party size after itinerary delivery may require a new planning agreement and additional fee
2. Supplier & Travel Component Cancellations
Frances Farlow Travel and Tours acts solely as a booking agent for third-party travel suppliers (including airlines, hotels, resorts, cruise lines, tour operators, and ground transportation companies).
- Supplier Terms: All travel reservations are subject to the specific terms, conditions, cancellation fees, and refund policies set forth by the individual travel supplier.
- Refund Eligibility: Refunds, credits, or travel vouchers for canceled trips are governed entirely by the supplier’s policies. Frances Farlow Travel and Tours has no control over supplier refund decisions or processing times.
- Agency Cancellation Processing Fee: In the event of a client-initiated trip cancellation, Frances Farlow Travel and Tours reserves the right to charge an administrative cancellation processing fee of $100 per booking to cover the administrative labor of processing cancellations, refunds, or supplier credits.
3. Travel Insurance Recommendation
Due to unpredictable circumstances—including personal emergencies, illness, flight disruptions, or sensory/health changes—travel insurance is strongly recommended for all travelers.
- Coverage Scope: Travel insurance can protect your financial investment against unexpected trip cancellations, medical emergencies abroad, trip interruptions, and baggage delays.
- Cancel For Any Reason (CFAR): For maximum flexibility, we recommend purchasing a plan with a "Cancel For Any Reason" (CFAR) rider, which must typically be purchased within 14–21 days of your initial deposit.
- Insurance Declination: Clients who choose to decline travel insurance coverage assume full financial responsibility for any cancellation penalties, lost deposits, or out-of-pocket expenses incurred.
4. Rebooking & Trip Modifications
If you need to reschedule or modify your vacation dates:
- Contact us in writing as soon as possible at frances@fftraveltour.com.
- We will work directly with suppliers to apply existing deposits or bookings to new travel dates whenever permitted by supplier policy.
- Any supplier change fees, rate differences for new travel dates, or rebooking fees assessed by suppliers remain the sole responsibility of the client.
